Document Revisions & Version Tracking

 

The Profile System tracks any type of document, in any format. Manage Microsoft Word, Excel, PowerPoint, Visio documents, or other industry standard tools such as WordPerfect, AutoCAD, scanned documents, images or just about anything.

The Profile Document Control System will archive all revisions of a document for future access. Though most users can only access the most current versions of documents, FulL Access Users can view the following information for each past revision of a document:

·         Revision information

·         Approvals for that revision

·         Distribution for that revision

·         Change requests

·         Reviews

·         Previous version of the document

·         Other revision information

Approvals & Distribution Routing

 

The Profile Document Control System streamlines the time intensive process of tracking down document approvals/reviews, as well as ensuring that staff have access to the most current, controlled versions of documents available.

When a document has been entered or revised the system prompts the user to send the document out for approvals/reviews prior to release. If selected, the user can select from a central listing of approvers available, or select a group distribution list.

Once the user processes the approvals the Profile system will automatically email notify the people responsible for responding. Those users can then click directly on a link in their email to enter a screen where they can confirm their approval, or reject the document and upload an edited copy.

Once a document is released the administrator can also create a distribution list, this will trigger email notifications to all staff, suppliers or customers requiring access to the updated document.

The Profile system is an extremely powerful and efficient tool for processing approvals, reviews and distribution.
